In PropertyStack, you may need to transfer a reservation from one property to another. This can be done by following a few simple steps, which include creating a new reservation for the desired property and then updating the original reservation's status to "Cancelled."
Steps to Transfer a Reservation
Find the Reservation
Search for the reservation you want to transfer in the PropertyStack Multi-Calendar.
Note: You can also use the search bar to locate it by guest name or reservation ID.
Open the Reservation Page
Once you find the reservation, click on it to open the reservation details.
Create a New Reservation for the Desired Property
In the Multi-Calendar, create a new reservation for the desired property by referencing the existing reservation's information (such as guest details and dates).
Important: Be sure to add the guest’s actual email address and phone number to the new reservation. Since the original reservation will be cancelled, automations will not send if the guest's contact information isn't included in the new reservation.
Ensure that the reservation is confirmed and save it.
Update the Original Reservation Status
Go back to the original reservation, and edit the reservation status. Change it to Cancelled to reflect that the reservation has been moved to another property. Save the changes.
Transfer Funds
After updating the reservation, transfer the funds from the original property's account to the new property's account. You can do this by following this article: How to Transfer Funds: A Ledger Transfer from One Account to Another.
Important Notes
The booking will still be listed on OTAs (Online Travel Agencies) under the original property.
The calendar for the original property will be open for future bookings, but the reservation will be moved to the new property.
Ensure the guest's email and phone number are updated in the new reservation to ensure automation emails are sent correctly.
